Medical Secretaries Job Description

The Medical Secretary performs secretarial duties utilizing specific knowledge of medical terminology and hospital, clinic, or laboratory procedures. Duties include scheduling appointments, billing patients, and compiling and recording medical charts, reports, and correspondence.

Tasks for Medical Secretary

  • The Medical Secretary answers telephones, and directs calls to appropriate staff.
  • The Medical Secretary schedules and confirms patient diagnostic appointments, surgeries and medical consultations.
  • The Medical Secretary greets visitors, ascertains purpose of visit, and directs them to appropriate staff.
  • The Medical Secretary operates office equipment such as voice mail messaging systems, and use word processing, spreadsheet, and other software applications to prepare reports, invoices, financial statements, letters, case histories and medical records.
  • The Medical Secretary completes insurance and other claim forms,
  • The Medical Secretary interviews patients to complete documents, case histories, and forms such as intake and insurance forms.
  • The Medical Secretary receives and routes messages and documents such as laboratory results to appropriate staff.
  • The Medical Secretary compiles and records medical charts, reports, and correspondence, using typewriter or personal computer.
  • The Medical Secretary transmits correspondence and medical records by mail, e-mail, or fax.
  • The Medical Secretary maintains medical records, technical library and correspondence files.

The Medical Secretary needs knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction. The Medical Secretary needs knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology. The Medical Secretary needs knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar. The Medical Secretary needs knowledge of circuit boards, processors, chips, electronic equipment, and computer hardware and software, including applications and programming. The Medical Secretary Needs knowledge of the information and techniques needed to diagnose and treat human injuries, disease, and deformities. This includes symptoms, treatment alternatives, drug properties and interactions, and preventative health-care measures.

Work Activities for Medical Secretaries

  • Getting Information- The Medical Secretary observes, receives, and otherwise obtains information from all relevant sources.
  • Performing for or Working Directly with the Public- The Medical Secretary Job is to perform for people or deal directly with the public. This includes serving customers in restaurants and stores, and receiving clients or guests.
  • Assisting and Caring for Others- The Medical Secretary provides personal assistance, medical attention, emotional support, or other personal care to others such as coworkers.
  • Interacting With Computers- The Medical Secretary uses computers and computer systems including hardware and software to program.
  • Communicating with Supervisors, Peers, or Subordinates- The Medical Secretary provides information to supervisors, co-workers, and subordinates by telephone, in written form, e-mail, or in person.
  • Performing Administrative Activities- The Medical Secretary performs day-to-day administrative tasks such as maintain information files and processing paperwork.
  • Establishing and Maintaining Interpersonal Relationships- The Medical Secretary develops constructive and cooperative working relationships with others, and maintaining them over time.
  • Documenting/Recording Information- The Medical Secretary enters, transcribes, records, stores, or maintains information in written or electronic/magnetic form.
  • Communicating with Persons Outside Organizations- The Medical Secretary communicates with people outside the organization, represents the organization to customers, the public, government, and other external sources. This information can be exchanged in person, in writing, or by telephone or e-mail.
  • Organizing, Planning, and Prioritizing Work- The Medical Secretary develops specific goals and plans to prioritize, organize, and accomplish your work.
